8 Steps to Getting your Grant Proposal Funded!

Contrary to what you might have seen on those late night TV commercials – grants are NOT that easy to come by. The first step is finding a grant that you qualify for – but the second part is the killer and where most grant seekers fail – completing the application process!

If your grant proposal is not complete and accurate according to the grantor’s specific guidelines – you won’t make it past the first qualifying round!

Here are a few tips for writing your grant proposal:

1. You may understand your business or concept inside out – but the person reading your proposal probably doesn’t. Explain your idea clearly and in as much detail as the form will allow. Have at least two other people OUTSIDE of your organization read the proposal and then ask them questions about your concept. If they cannot explain what you are trying to do – chances are the grants committee won’t either. And they won’t fund what they can’t comprehend.

2. The proposal must flow smoothly from beginning to end. If it doesn’t, the proposal won’t make sense. To avoid this situation, start with an outline that clearly follows each step of your plan…then expand each point as needed to fully explain your business plan. Then – give the finished proposal to someone outside your field to read the proposal before you submit it. This will help you to identify parts that needed to be further clarified.

3. If you want your proposal to be taken seriously – show the funding committee that YOU take it seriously by carefully proofing it for spelling, typing and grammatical errors. Take time to have at least two other people proofread your proposal before you submit it – and then read it again yourself to make sure!

4. Don’t estimate costs and funding needs for the proposal rather than taking the time to research and evaluate the actual expenses. In a grant proposal, guesses just won’t make it. If a grant reviewer suspects that your financial sheet is not accurate – you just lost the grant. Find out exactly what kind of computer system you are going to need and exactly what the cost will be, then spell it out in the proposal exactly!

5. Make sure that your goals and objectives are clearly laid out and specific. If you say “I want this grant so that I can help the community” you won’t get nearly the credibility as you would by saying “This grant will allow us to buy 3 new computers, and create 2 part-time paid staff positions in an area where jobs for high school students and mothers with limited working hours are very difficult to find.”

6. Give yourself enough time! Don’t throw the proposal together in order to meet the deadline…. it shows. A good proposal package takes time to assemble and research properly. If you really want the money – then spend the time to put it together correctly, without shortcuts, and without being rushed.

7. Every grant has rules and guidelines that must be followed EXACTLY! If you want your proposal to be considered, read and re-read the grantor’s guidelines. If it says that the grant MUST be submitted via the online form – don’t even bother to ask if you can fax it in. Unlike employment applications where it sometimes pays to be “original”, grant committees have rules in place for a specific reason, and they expect them to be followed to the letter. To do otherwise may mean that your application will be disqualified before it ever gets read.

8. Make sure that your proposal is what the funder actually finds! Don’t assume that just because there is a significant amount of money available, that they will fund anything submitted by anyone – the unfortunate fact is that funders are usually VERY specific in what they are looking for (and sometimes a bit odd, but that’s their choice!) and will rarely deviate from their “category”. You may have the very best green widget in the world – but if the grant is only for the makers of PURPLE WIDGETS – you won’t get the grant!

Grants are hard to find and VERY competitive – so put together the very best proposal possible and prove that you are the one that should get the money!

What is a grant?

A grant is funding that most organizations and sometimes individuals receive to help them to put forth a particular thing or service they’re providing. It’s funding that comes from either private foundations or funding that comes from the government agency called public. It’s normally giving that they normally don’t have to pay back.

Who is qualified to get grants?

It depends on what the funder specifies. So if the funder says “We desire to fund youth programs or programs that help families or the homeless, or those that have special needs.” The funder determines who qualifies for the funding. If it’s a government grant, then the government agency determines who will receive the funding followed by…If it’s a private foundation, they can determine what kind of priorities they will give to for the monies they issue out. It really depends on what the funder says.

Does it have to be a foundation or government that would provide a grant, or can some wealthy person decide they want to give a grant, or do they first have to become a foundation before they could provide those monies?

Anybody can give money, so it doesn’t necessarily have to be a foundation or individual. But most of the time people who issue out grants are foundations or some kind of government agency. As the government, they don’t really benefit directly from issuing out grants other than they are helping to put forth a mission to help resolve a particular problem, but for the individual who does it for a foundation, there are certain tax benefits that they get from giving out that money. So the average foundation has to give out a certain percentage of money, and that percentage equals out to roughly 5% of their assets every year. So then they determine, these are the areas that we want to give out our money – to these particular priorities. So it’s more beneficial for them to have 501c3 status that qualifies them as a foundation.

When you’re going to get a grant, what are some of the tips so that you can win that grant. How does one do a proposal?

They can do a proposal in a number of different ways. But the thing I want to share that will be most helpful is that as you are developing your grant, first of all, make sure that you follow all the directions that the funder has provided. The funder normally says “this is what we want you to do to apply for this particular grant”. And what happens is you’d be surprised that when people apply for a grant, they don’t follow every single direction. (They’re too much into their thing… “Exactly!”) So what happens if they don’t follow directions, think about it from the funders perspective: if you don’t follow all the directions, then how are you going to use my money? They want to be sure that they give their monies to people who are well-qualified, that will carry out the responsibilities. So the very first thing to develop an award-winning proposal is that you follow all the directions the funder gives you saying this is what we want. The proposal is essentially telling the story of what you are proposing to do and in doing that something that can really help your grant proposal is to make sure that what you’re writing makes sense – that it’s not too heady and it’s not going to lose people as they read through it. It has to be very practical and it has to be logical. The proposal is not something that is done as a personal appeal but it’s something that is logical, very concrete and very factual as well. As you take that proposal and begin to develop a proposal, telling the story of what you’re proposing to do in a very logical way then people are more readily to read it, and it should hopefully make sense to them. And there are some things you can do to add a little spice to it. Maybe adding some charts to it, some facts, some statistics that back up what you are proposing to do. They have to have a visual. (You want to pull them into it since it is their money, and you want to make them confident that you’re going to spend their money wisely.) They want to see what the program is about so if you can do some things like adding graphs, charts and things of that nature.

What are the mistakes we need to avoid as we’re doing this?

First, if the person writing the grant can avoid some of the jargon. A lot of times, you’re writing and you think the person knows exactly what you know, such as acronyms like “our CDC is doing this” and someone on the other end, instead of looking at it as “Community Development Corporation” they may be thinking “is this the Center for Disease Control?” So avoid jargon and also avoid acronyms. If you need to use an acronym, use it, then spell out what it means at least once. Those are some things that will add spice and make sure that your proposal is done right.

Learn How to Write Short Letter Proposal for Small Business Grants

Basically, the flow of information on the letter proposal should also follow the format of full project proposal.  But because you are writing a letter, the tone can be a little informal but not casual.  You still have to follow the tone of a standard business letter.  First, you should convey your request for small business grants.  Then describe your project or the purpose for the grant in a very concise manner.  

You should also include the reasons why you need Canada government grants and briefly provide information about the capabilities of your company in implementing the project.  A short budget matrix should be included in the letter.  If your budget projection will not fit into a single page, then it would be best to make it as an attachment.   These are the basics of writing short letter proposal.  If there are other documentations that are needed, then make sure that you will attach it to your letter request for government grant.
